Privacy Policy
This Privacy Policy explains how Automotive OS collects, uses, stores, and shares information when you visit our website, create an account, or use the Automotive OS software platform.
Effective date: [EDIT BEFORE PUBLISHING]
1. Our Role With Respect to Information
Depending on the applicable privacy law and the particular processing activity, Automotive OS may act in different privacy roles. For information collected directly from Automotive OS users, such as account information, website usage, subscription information, and support communications, Automotive OS generally determines how and why that information is processed. For customer, prospect, deal, vehicle, and other business information a user enters into Automotive OS, Automotive OS generally processes that information in order to provide the service on the user’s behalf. Users are responsible for the lawfulness of the customer and business information they enter into the platform.
2. Information We Collect
Automotive OS may collect information in several categories. Account information may include a name, email address, authentication information, account settings, and organization or workspace information. Authentication may be provided through third-party authentication infrastructure. Users may enter customer and business information into Automotive OS, including information related to customers, prospects, vehicles, deals, notes, dealer contacts, calendar activity, follow-up information, proposals, and other business records entered by the user. Subscription and payment processing is handled through Stripe. Payment-card details may be collected and processed by Stripe rather than directly stored by Automotive OS. The service may also collect technical and usage information reasonably necessary to operate, secure, or measure the service, such as IP address, browser type, device information, pages or features used, timestamps, application activity, referring pages, and diagnostic information.
3. How We Use Information
Automotive OS may use information to provide and operate Automotive OS, authenticate users, maintain user accounts and workspaces, process subscriptions and billing, provide customer support, troubleshoot technical issues, protect the platform from fraud, misuse, or security threats, improve product functionality and user experience, understand website and product usage, communicate important account, service, or policy information, and comply with applicable legal obligations.
4. Service Providers
Automotive OS relies on service providers to operate portions of the service. Clerk provides authentication and account access. Stripe provides subscription billing and payment processing. Vercel provides application and website hosting and delivery infrastructure. Neon / PostgreSQL provides database infrastructure used by the Automotive OS application. If analytics, advertising pixels, or additional service providers are later activated, this Privacy Policy must be reviewed and updated before those practices begin.
5. Customer and Business Data Entered by Users
Automotive OS users may enter information relating to their customers, prospects, vehicles, deals, and professional relationships. Users are responsible for ensuring that they are authorized to collect, enter, use, maintain, and process that information within Automotive OS. Automotive OS is not a replacement for dealership-required CRM, DMS, compliance, consent, privacy notice, or recordkeeping systems. Users remain responsible for following applicable law, dealership policies, employment agreements, contractual obligations, privacy requirements, and consent requirements where applicable.
6. Deal and Financial Information
Users may enter deal-related information, such as vehicle pricing, lease terms, finance terms, cash deal information, trade information, payoff information, payment scenarios, and other transaction-related data. Automotive OS is not presented as a lender, credit bureau, financial institution, credit decision-maker, or financing provider.
7. Account and Workspace Separation
Automotive OS uses a multi-tenant application architecture designed to keep each account or organization’s workspace and information logically separated from other users.
8. How We Share Information
Automotive OS may share information with service providers where necessary to host and operate the service, authenticate users, process payments, provide infrastructure, maintain security, provide technical support, and comply with legal obligations. Automotive OS does not sell users’ personal information to advertisers. If future advertising or analytics technologies may constitute sharing, targeted advertising, or a similar regulated activity under state privacy laws, this Privacy Policy must be reviewed and updated before those practices begin.
9. Cookies and Similar Technologies
The Automotive OS website and application may use cookies or similar technologies necessary for authentication, security, session management, application functionality, and user preferences. If optional analytics or advertising tools are later activated, this section must be updated before or when those tools begin collecting information.
10. Privacy Rights
Depending on where a person lives and which privacy laws apply to Automotive OS, they may have rights concerning their personal information. These rights may include the ability to request access to certain personal information, correction of inaccurate information, deletion of certain information, a copy or portability of certain information, information about categories of information collected or disclosed, or an appeal of certain privacy decisions where applicable. Certain laws may also provide rights relating to sale of personal information, sharing for cross-context behavioral advertising, targeted advertising, and certain automated decision-making activities. Automotive OS does not currently sell personal information to advertisers. To exercise a privacy right that applies to you, contact us at support@automotiveos.co. Automotive OS may need to verify the identity of a person making a request before completing it.
11. Data Retention
Automotive OS retains information for as long as reasonably necessary to provide the service, maintain legitimate business records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary depending on the type of information and the reason it is maintained.
12. Security
Automotive OS uses reasonable technical and organizational measures intended to protect information. No method of electronic transmission or storage can be guaranteed to be completely secure.
13. Your Choices
Users may update certain account information through the application, cancel an Automotive OS subscription, contact Automotive OS regarding privacy or account questions, and submit applicable privacy requests.
14. Third-Party Services and Links
Automotive OS may link to or interact with third-party websites or services. Their privacy practices are governed by their own privacy policies.
15. Children’s Privacy
Automotive OS is professional business software and is not designed or intended for use by children.
16. Changes to This Privacy Policy
Automotive OS may update this Privacy Policy from time to time. The current version and effective date will be posted on this page.
